Communication is essential to successful projects, especially if your team is working remotely in different locations and time zones.

Meetings, decisions, tasks, and so on should be documented and shared with the team to keep everyone in the loop. Before you reach for Word, try Microsoft OneNote instead. A note-taking app, OneNote is packed with features to improve collaboration and save time! OneNote is a free digital note-taking application and productivity tool.

Use the app to take notes, record audio, capture screenshots, and so on. Although each version has slightly different functionality, syncing across devices and versions is seamless. With this version, sections appear along the top of the notebook, with pages listed on the right-hand side. This is a free, pre-installed app for Windows 10 and can also be downloaded from the Microsoft App store. Sections and pages appear on the left. Think of this application as a lightweight version of OneNote.

OneNote and OneNote for Windows can be used side-by-side on the same desktop. Open the relevant version of OneNote and click on the name of the notebook you are currently using. Name the section. If you need to rename, delete or move the section, just right-click on the section tab. Add sections to your notebook using the add button, found on the left-hand side. Name and re-name the section as needed. Whether you are using OneNote or OneNote for Windows, the process for adding a page is identical to creating a section.

With pages in place, add, move, rename, and delete pages as needed. You can also group content by creating subpages, which improves navigation. Next, enrich your content with the Insert tab. Embed files, incorporate Excel spreadsheets, add pictures, or record video and audio. These features are particularly useful for remote teams working in different time zones.

Team members can add more context to project tasks and easily share feedback with their colleagues. This is a quick way to record the context of the meeting for later reference. Quick Notes are similar to sticky notes. Use this feature to jot ideas and sort later. Clip the entire page, copy as an article, bookmark a web page, or take a screenshot of a section The note is saved to the relevant notebook for later reference. Options include project outlines, to-do lists, and meeting agendas.

Contributors can edit and update the notebook in real-time, which is a fantastic resource for distributed project teams. Here, you can set permissions edit or view , share via email or link, or share with meeting attendees. To stop sharing the content, right-click on the relevant individual. Share an entire notebook with other people and allow each invited notebook participant to view or fully edit your notes. You can control access to the content by setting an expiration date on the link or by adding a password.

Click this feature to access the meeting details from Outlook. You can sign into your Microsoft Account straight from the Meeting Details feature. Find research and add the source as a citation in a note by pressing the Researcher button on the Insert tab.

Click the Math button in the Insert tab. Type an equation and then find the solution using the Math panel that pops up when the equation is selected. The Draw tab on OneNote is something you can use to draw directly on a note. Use the pens at the top or add pens using the plus button next to them.

There is also an eraser, highlighter, and shapes that you can use. Select Ink to Shape to have drawn shapes automatically transform into a perfect shape. It will clean up the notes and make them easier to see.

This extension acts as a tool that uses OneNote functions to save clips from websites to your notes. To use the extension once you have it, click the small OneNote icon on the top right corner of your browser. It should pull up a clip from the current website.

Type a small description above the clip. Use the Location drop-down menu to choose where the clip will go in your notes, and then select Clip. You can add a note to your OneNote account by sending a message from your email. Add email accounts to your OneNote by using onenote. Once you have everything set up, you can then send an email from your email straight to OneNote by putting the recipient as me onenote. To print a page, use the Options button with three dots to select Print. A print preview will show up from there where you can choose the correct printer and change print settings such as orientation and color mode. You can use OneNote on most mobile devices or online. If you know your Microsoft login information, you will be able to see all of the notes you have saved. To permanently delete notes that are still in your OneNote account, you can do so by going to OneDrive, which you can find through the Microsoft website when you log in.

OneNote on Macs switches better between laptop, iPad, and an iPhone with little differences in how it looks — compared to Windows. You will need this version if you typically use a mac laptop, desktop, or tablet. On a Mac computer, you can add a notebook by pressing the down arrow by the name of your current open notebook and clicking the plus sign in the top right corner of the drop-down menu.

It will look like this:. On the View tab, change the color of paper for a note by clicking the Paper Color button on the left side of the ribbon. Choose a color, and it will apply to the current note. You will find the Paper Style button right next to where you changed the paper color, under the View tab. This changes the lines on the paper.
